CANDIDATE COMMENCEMENT INSTRUCTIONS
To: December 2012 & January 2013 Graduation Candidates
From: Kristin Plaehn, Registrar
Congratulations! I look forward to seeing you in cap & gown on commencement day! To be ready for the celebration, please note the following important information.
In Absentia: If you are unable to attend commencement, please contact Kelly Gaspar Poth, Curriculum & Graduation Administrator, in the Registrar’s Office by Dec 3rd. She can be reached by e-mail at firstname.lastname@example.org or email@example.com.
GRAD FAIR: Cap/Gown Pick-Up: Regalia (cap/gown) MUST be picked-up at the Garfield Book Company on Wednesday, December 5th between 4:00-6:30pm.
If you cannot attend the GRAD FAIR, you MUST have a friend pick-up your regalia with a signed note.
***If you did not submit a regalia order with Royal-T, a limited supply of extras will be available at GRAD FAIR. Extras will be distributed on a first-come, first-serve basis starting at 4:00pm Dec 5th. A late fee will apply ($40.00 including late fee for bachelors, $60.00 including late fee for masters, CASH ONLY).
Photography: Graduation Images will be at the ceremony to photograph each graduation candidate. A candid photo is taken as each candidate is individually congratulated by the President & a ceremony portrait is taken as each candidate exits the stage. This service is complimentary; there is no obligation to purchase. Proofs are distributed via mail & email. Candidates may then choose from different packages or order individual photographs. For more information call 1.800.261.2576 or visit GradImages.com.
NOTE: It will not be possible for guests to approach the stage for pictures during the ceremony.
Assembling for Commencement: Please plan to arrive at Leraas Lecture Hall (located in Rieke Science Center, which is next to Olson Auditorium) no later than 9:30am on Saturday, December 8th. Promptness is critical because we will have no rehearsal. When you arrive, you will be given a preprinted name & degree card to help with the processional & diploma march order. All graduates will be forming lines in alphabetical order by degree (your card will indicate your line & seat number).
After all graduates are dressed in their regalia & seated, instructions for the processional, the diploma march & the recessional will be given at 10:00am.
Do not plan to leave any personal belongings in Leraas, as this room will not be locked once we exit the building. Please leave cameras, purses, coats, etc. with friends, family members or locked in your car. In the interest of appropriate etiquette, please save corsages & other celebratory attire to wear after the formal commencement ceremony is over.
During the Commencement Ceremony: After arriving at your seat in the auditorium, please remain standing until the Amen of the opening prayer. As bachelor’s degrees are conferred, all bachelors’ candidates will rise at the same time. After conferral, all candidates will be seated & then will stand & proceed to the stage as directed by the marshals. Each candidate’s name will be read as they walk across the stage to receive their diploma cover & shake hands with President Krise. This is the time when a candid photo will be taken of each candidate. After walking across the stage, bachelor’s candidates may move the tassel from the right side to the left. As bachelors’ candidates exit the stage they will stop in front of the mini-backdrop to have their portrait taken before returning to their seat.
As master’s degrees are conferred, all masters’ candidates will rise at the same time. After conferral, all candidates will be seated & then will stand & proceed to the stage as directed by the marshals. Selected Academic Deans will hood candidates on stage as the Provost reads their name. Candidates will then proceed across the stage to receive their diploma cover & shake hands with President Krise. This is the time when a candid photo will be taken of each candidate. As masters’ candidates exit the stage they willstop in front of the mini-backdrop to have their portrait taken before returning to their seat.
After the Commencement Ceremony: You & your guests are invited to a light reception in the Field House, located adjacent to Olson Auditorium, immediately following the ceremony. It is highly recommended that you arrange a meeting place before the ceremony.
Degree/Diploma Information: Participating in a commencement ceremony does not guarantee you will receive a degree. All university & degree requirements must be met by the University deadlines, see below, to receive a degree.
