Environmentally Responsible

University Communications continues to expand the use of environmentally responsible practices and products in printing and copy management. All materials used for printing and copying are environmentally sustainable with between 10% and 100% post-consumer waste. The Admission Viewbook family of publications has been printed on 100% recycled paper since 2005.

In every production area, University Communications annually reviews its best practices and strives to move toward the use of sustainable resources while balancing the cost and operational compatibility of new products and technologies.

University letterhead and envelopes have been printed on 30% post-consumer papers for the last 16 years. University Communications continues to research other options with higher recycled content and suitable quality.

The outside printing vendors selected to accommodate the printing needs of the university have a long established working relationship of trust and of providing high-quality digital and offset printing. University Communications works closely with outside vendors to ensure that environmentally responsible practices and products are utilized when producing our printed material.

The Forest Stewardship Council (FSC) is an international, non-profit organization founded in 1993 to support environmentally appropriate, socially beneficial and economically viable management of the world’s forests. FSC certified forests are responsibly managed according to set standards. The goal is to improve forest conservation and reduce deforestation. Through chain-of-custody review, the source of a wood product is verified and tracked through production into its final state. These products are labeled with a FSC logo, guaranteeing the consumer that the product they receive is credible and come from a well-managed forest. Our paper vendor, West Coast Paper Solutions, and our five printing vendors earned their FSC certification several years ago.

The Convenience Copier Program copiers are not only cost effective but are environmentally friendly. Duplexing, “power down” or “sleep” during idle periods, and recovery time can provide energy savings up to 60% or more. Using less energy (and paper through duplexing) not only saves money, it also helps reduce the amounts of pollutants entering the environment. Using fax and storage (scanner) instead of paper is another way to cut down on paper use. Copiers can hold the original images in their memory and print them many times rather than cycling through the originals like analog copiers. Potentially reducing, jams, noise and dust, as well as increasing copying speed. The multi-function capabilities such as faxing, scanning, and printing from a single print engine mean that less energy is being consumed. Our current vendor is recognizing environmental conservation as one of the most important missions given to mankind; most of their production sites have achieved zero-waste output to landfill.

Georgia-Pacific Spectrum30 Acid Free 20# Bond paper is being provided throughout the campus community. Georgia-Pacific is committed to helping ensure the future of plentiful and healthy forests in North America. They promote sustainable forestry in many ways through programs that support family forest landowners, protect threatened and endangered species, promote forestation and protect water quality. Fiber used to produce this paper meets the sourcing requirements of the Sustainable Forestry Initiative.

Free Pickup and Delivery

Marketing & Communications provides free, all day pick-up and delivery of all printed material.

Photocopying services are available – both support for the Convenience Copiers that are located in offices throughout campus and in the high-speed, high-volume Copy Center.  Call them for assistance with your copy needs.

Convenience Copier maintenance and service assistance is also available from the copier vendor at 888-456-6457. You will need to provide your service indentification number (i.e. 13028877). Expect your call to be returned within one hour. Expect service within four hours.

Customer service provides office supplies such as: toner for copiers, laser cartridges for printers, intercampus envelopes, generic envelopes and paper stock for copiers and printers.

Paper stock is provided in many different colors, sizes, and weights; all paper is at least 10-40% post consumer. (Please refer to our Paper Sample Book). Specialty paper can be received the next day.

Find the photos you need

You now have many of the university's best photographs available at your fingertips. Marketing & Communications has developed an online gallery of photos using Google's Web-based software Picasa. Photos are being updated weekly. Read below to learn more about how to take advantage of this resource.

Features

Some of the great features found within Picasa include:

  1. Searching - You can search for photos based on keywords.
  2. Albums - You can browse photos by album.
  3. Tagging - You can find similar photos based on keyword tags.
  4. Slideshows - You can quickly move between photos using the slideshow feature.
  5. Facial Recognition/Tagging - You can look for photos that contain a specific individual.
  6. Downloads - You can download high quality web versions of all the images.

Accessing Picasa

To access the official Marketing & Communications' gallery visit: http://picasaweb.google.com/PLUPICS

Searching for photos

Once you are in Picasa you can search for photos using the search box in the upper right corner. Type in your search query and hit "Search". By default you'll see images from all Google Picasa users, but you can easily filter the results to look directly at PLU's content. To filter the content to only PLU specific images select the drop-down menu just below the search field that says "Community Photos." Click on that and change it to "PLU Communications's Gallery." You should now see photos that are specific to PLU.

Browsing for photos

Albums

In addition to searching, you may wish to manually browse for photos. You have a few options for doing this. First all of the photos have been organized into one of several albums (Click on any of the links below to view the contents of each album).

Tags

Another method is to look for photos based on tags. Picasa displays tags in the right sidebar. Only the 10 most used tags appear at a given time. Tags also change depending on how deep you are in the Picasa Web site. For example when you visit the main PLU gallery page you'll see the top 10 tags for all of the content. From there if you go into an album the tags on the right will change to reflect the 10 most used tags for that album. When you drill down and look at a specific image you'll see a list of all the tags that pertain to that one image.

Slideshows

Tired of having to click around for photos? Feeling lazy? You can also browse for photos using the slideshow feature. Browse any collection of photos (e.g. Album, Tagged Photos, Search Results), then in the upper left corner click on the slideshow icon. You're now previewing the photos in the slideshow at full screen. At any time you can stop on the current photo using the controls provided below or by hitting your escape key.

People (Facial Recognition)

Another cool way of browsing photos is by person. Picasa provides a tool for tagging the faces of people in photos. You can use this tool to find photos that contain a specific person. Go to the main PLU Picasa page, then in the right sidebar look for the heading that says "People in this gallery." To the right of this heading you'll see the link "View All." Click on this link and you'll be brought to a page that shows all of the people that have been facially tagged in the galleries. Its organized according to the person's first name and shows the number of photos that each individual appears in. Click on a person and you'll be brought to another page where you can view all of that person's photos at once. Note: We're still tagging individuals in these photos.

Downloading a photo

Once you find a photo that you like you can download it by:

  1. Clicking on the image
  2. Selecting the "Download" link (It's just above the image)

You can also do this from the gallery view, but then you will download all of the photos from that specific album.

How to use these photos

Web

If you'd like to make use of these photos on your Web site you'll need to follow these steps:

  1. Download the photo (See previous section of this page)
  2. Upload the image into your "images" directory within Cascade
  3. Use the Cascade image resizing tools to crop and scale the image

Print

If you'd like to make use of these photos for a printed publication you should contact Barbara Clements, Director of Content Development,  for a higher quality image.

The full range of the Marketing & Communications staff assists clients across campus with concept development, writing, editing, design, photography, printing and mailing of print projects. Some projects are printed on campus on the digital copiers in the Copy Center. Others are vended to off campus providers of offset printing.

Cascade Upgrade

Cascade was upgraded over spring break to the latest version of the software. Thanks for your patience during the downtime. The upgrade resulted in a handful of minor tweaks to the software that may affect you and your workflow. Please take a moment to review an explanation of the changes below:

There is Always Something

First the down side. The way in which images are uploaded into Cascade has changed. Now when you upload an image in Cascade you’ll be presented with a slightly different form than before. The new form isn’t intuitive and, until you get used to it, it could be frustrating. So, we’ve created this short video to show you how to successfully upload a new image.

Also note, that Cascade is aware of the image upload issues and they are working on a patch.

In addition to the above, we’ve had to make some minor changes to the eLibrary. We’ve discontinued the Events, Profiles and Topic folders within the eLibrary. We did so to improve the performance of Cascade. The Dates folder within the eLibrary remains intact and you should include eLibrary content to your site using that source from now on. If you used any of the eliminated eLibrary folders on your site you watch this short video to learn more about how this change affects you and what you’ll need to do moving forward.

Performance

The most noticeable change to Cascade will be performance enhancements. In the past it, could take several minutes to create new items in Cascade. In testing this new version we have found that creating, copying and deleting items happens almost instantly. That's great news for all us as we will no longer have to start something in Cascade and patiently wait minutes for it to finish thinking.

Publish Queue

The publish queue (formerly under Tools) has been moved under the Cascade logo menu option. Use the publisher to see where your content is in the Active Jobs queue.

There’s now an additional menu option in the top right corner called “Quick Links” that provides links to common areas of Cascade including your history within Cascade. Use it to quickly navigate back to a page or item that you were on previously.

Updated Design

For some time now there has been a visual disconnect between the university’s home page and department Web sites. The home and doorway pages feature a more sophisticated branding, and the department pages have fallen behind. The good news is that this is all about to change. The Web team has been hard at work in developing a new skin for Cascade Web sites and it's finally ready.

On Monday November 15th, all Web sites that are currently being managed out of Cascade will be updated to use the new skin, and there will finally be continuity between the main university pages and the department sites.

How will this affect you?

If you’re in some way responsible or involved in maintaining a department Web site you might be wondering, “How will this affect me?” and “What will I need to do?” The answer to the first question is that your Web site is about to get a face-lift. If you’re curious how extensive the changes will be you can take a glance at any one of these live Web sites that have graciously served as your guinea-pigs in developing the new skins:

As you can see from the examples above the basic structure of your Web site will remain intact, and for the most part changes are chiefly aesthetic. However there are a few changes that are worthy of mentioning:

  • Faculty and Staff Pages - There have been many requests to enhance the staff pages to include additional information (e.g. Curriculum Vitae). The new skins have provided us with an opportunity to reevaluate this request. We have changed how the faculty and staff profiles now work. The “More Information” button now takes visitors to a page devoted to each faculty or staff, and it’s on that individual page that we now provide additional fields of information such as Curriculum Vitae etc.
  • Galleries - With the rise of mobile devices and the decline of flash it made sense to revisit how Galleries were being created in Cascade. So, we have re-written the galleries so that they do not require flash and instead use a more modern approach to presenting galleries in a modal pop-up. This is a stopgap measure. We didn’t want galleries in existing Web site to stop working, our true end goal is for departments to make use of another tool for managing photo galleries. In the future departments will use Google’s Picasa to create and manage galleries and the Web team will provide a means to seamlessly integrate those galleries back within Cascade Web sites.
  • Important Dates - We will roll-out a new method of creating important dates when the work on the Campus Calendar is complete.

What do you need to do?

So now that we’ve addressed question of how the new Cascade skins will affect you, let’s talk about what you need to do. Virtually nothing. That’s right, we’re not asking you to do anything. On Monday November 15th the Web team will bring down Cascade so that we can migrate all of the Web sites to the new skin. We will make an announcement in advance of that so that you can publish out any changes that you may need to make. After we've migrated the sites your Web site will have the new skins. Nothing will change in how you build or maintain your Web sites, your site will just look different. The one thing that we do ask is that if you encounter anything strange or broken that you let us know using our feedback form. We also ask for your patience. Flipping the switch on the bulk of the university Web site is a big job. We’ve done our best to ensure that it goes smoothly but inevitably there will be some issues and we will work through them as quickly as possible.

So let’s recap what this all means. On Monday November 15th your Web site will look different, and you will manage things exactly as before. If something is broken or odd just let us know and we’ll be happy to assist you.

Rebuilding The Calendar Ecosystem

Understanding The Need

Communicating important dates and other event related information is a challenge for the university. Mostly because there are too many places to update calendar information, and also because the tools lack the sophistication needed to make the task simple and straightforward.

Presently there are three distinct tools, or calendar systems:

  • Events Calendar - A public Web site that allows the visitors to stay informed of what’s happening on campus. The events Web site also serves as a resource for booking or reserving spaces across campus through Conferences & Events.
  • Resource 25 - A closed system used by Conferences & Events, the Office of the Registrar and a few other select offices for managing events and spaces across campus.
  • Department Important Dates (Cascade) - A set of templates within Cascade used to display date related material on a department Web site.

Now you might read the descriptions above and think, “What’s the problem?” Well, simply put these calendar systems have issues. They are:

  • Difficult to use
  • Have a clunky interface
  • Do not integrate with other systems

As a result someone wanting to post an important date or event online has to enter that item in multiple locations, using different forms and different processes. And when a change needs to be made it has to be done on all three systems. This makes things difficult for:

  • The person entering the item
  • The people approving the item
  • Anyone trying to follow the information

The Solution

Thankfully the stars have aligned and a solution has presented itself. A group of offices across campus have banded together to establish a new calendaring system that addresses the issues of our current calendar ecosystem. The solution can be thought of in three parts:

  • Scheduler - A commercially backed Web-based solution (CollegeNet) that will allow anyone with an ePass to enter an important date or event item to a single repository. From there the item passes through an approval process and pending any approval flags is automatically syndicated across the PLU Web site. Click here to view a development instance of the scheduler. Note that this is actively being worked on.
  • Campus Calendar - A public Web site that will aggregate all of the contents entered into the “Scheduler.” The “Campus Calendar” Web site serves as the authoritative source of Calendar information. It is a direct replacement of the existing Events calendar. Click here for a preview of the Campus Calendar. Note that this is actively being worked on.
  • Department Important Dates - Information entered into “Scheduler” will also automatically appear on the corresponding department’s Important Dates section. No additional work will be necessary on the part of the person entering the calendar item. Assuming that the item makes it through the “Scheduler” approval process it will automatically appear on the site of the organization/department requesting the item. Click here for an early example of Important Dates section within department Web sites. Note that this page is only available from on campus, and the content is for demonstration purposes only.

This solution greatly simplifies the process of posting calendar information on the Web site. There will be a single location for event/meeting organizers to go in order to create, update or delete calendar information.

Timeline

Our timeline for going live with the revised calendar system is early November. From now until the launch date the Calendar team (Conferences & Events, Registrar, Systems, University Communications) will be working out the remaining kinks and developing training materials for the campus.

Training and Support

Work is already underway in developing training materials for submitting calendar items to “Scheduler.” The finished materials will be made available in advance of the go live date, and there will be public training sessions held on campus for those interested.

The new Cascade skins and calendar features will NOT be coming to you on October 18th as we had hoped. It's taking a bit longer to work out all of the details of the new Campus Calendar. We anticipate the skins and calendar coming online by mid November. Rest assured, good things do come to those who wait. Calendar training sessions will be held in advance of the roll out. Watch for them late October or early November.

Picasa, Blogger and more!
One of the perks of going steady with a big handsome company like Google is all the free stuff you get. In the coming weeks you're going to get a suit of new tools from Google including photo (Picasa) and blogging (Blogger) tools. Our friends over in I&TS are working out all of the details right now. Once these new tools come online the Web Team will explore opportunities for integrating these features back into your Cascade Web sites. So stay tuned, new features are coming.

It's a new school year, and a new photographer. Please join us in welcoming our newest colleague John Froschauer. John has more than 25 years experience shooting for the Associated Press and various news organizations. He has taken pictures of everything and everyone including pictures of pro-college sports teams to visiting presidents to Little Leaguers. We know. We know. We know... Cascade has been acting a bit grumpy lately. Well, we wanted to take this opportunity to say first of all  THANK YOU for being patient as we work through the Cascade performance issues.  There has been a sort of perfect storm of little things that has caused Cascade's performance to grind to a halt. Thankfully I&TS has been on hand to help us resolve the issues as they occur. Personalization

The goal of this initiative is to develop and/or acquire the tools and resources necessary to provide a personal online experience to the university’s various constituents. There are five major components to this initiative:

  1. Data Management (Data Warehouse)
  2. Customer Relations Management (CRM)
  3. Identity Management
  4. Personalization Framework
  5. Business Functions

The first component, Data Management is already underway by the Information Systems group within I&TS. The remaining components are still on the forward looking roadmap and while the Web team is not directly responsible for these items it will play a role in shaping the decision that guide the remainder of this initiative. 

Next Steps

  1. Customer Relations Management Solution (CRMS) Coordinate with key stakeholders to ensure that the selected CRMS will provide the necessary hooks and functionality to support personalized online communication.
  2. Identity Management Collaborate with I&TS staff in building a new identity management system that will authenticate both on and off-campus constituencies and provide a centralized mechanism for authorizing individuals to access particular resources.
  3. Personalization Framework Work with key stakeholders to evaluate various frameworks and turnkey solutions that offer a means of connecting the CRMS and Identity Management solutions to the Web for the purpose of personalizing content to the individual (e.g. Open Social, Luminous Portal).
  4. Business Functions Support the personalization initiative by improving existing business functions. Collaborate with I&TS and other key stakeholders in developing or acquiring the following solutions.
    1. eCommerce Work with the Business Office, I&TS and other key stakeholders in launching a robust eCommerce solution. Support the front-end development of eCommerce forms and provide support in integrating eCommerce solutions back into department Web sites and the personalization framework. Partner with the Development office and I&TS to develop a donation portfolio application where donors can review their investments in the university to date as well as make changes to future donations.
    2. Forms Management Collaborate with I&TS to develop a standardized method of handing traditional paper-based process online via Web-based forms. Integrate the forms solution back into department Web sites.
    3. Web Analytics Take ownership of the existing Web analytics tools (Web Trends) and if necessary migrate to Google analytics so that the university can establish standardized reports and metrics for determining how the Web, e-mails and other forms of communication are being used.
    4. Event Registration Evaluate the processes in which event registration is currently being maintained via Informz. Find ways to improve functionalities and if possible integrate back into the CRMS solution.
    5. E-mail Marketing Develop templates within Cascade that will allow departments to generate highly polished e-mail campaigns that are on message and easy to manage. Explore options for integrating delivery options with the CRM solution.
    6. Search enhancements
      1. Search Engine Optimization Provide leadership and expertise in optimizing Web content for internal/external search results. Keep ongoing statistics of where the university ranks with regard to certain keywords and search engines.
      2. PLU Search Collaborate with I&TS and other key stakeholders in overhauling the existing university search.

Social Networking

  1. Identify Target Social Networks Work with key stakeholder such as Admission, Development and Constituent Relations in identifying the most popular Social Networks for various constituencies. Evaluate each social network on its business model, usage and ability to integrate with other systems.

  2. Mobile Apps Identify the most popular mobile device(s) for application development. Setup the necessary tool chains for developing applications on the target device(s).   1. Workspace To ensure the quality and timeliness of the Web Team’s work it is necessary to make some adjustments to the current workspace.
    1. Production, Staging and Development Web Servers Partner with I&TS to identify and create a multiple server configuration that would allow the Web team to quickly move from idea to production without putting the public facing Web site at risk.
    2. Multiple Subversion Repositories Collaborate with I&TS in creating individual subversion repositories for each of the products that the Web team supports.
  2. Product Development Take a census of all the existing projects that the Web team is currently responsible for. Determine whom the end-users are for each project and develop product definitions. Develop a standard nomenclature for organizing all of the products. Use the product nomenclature to create product pages within the project management tool, and to create individual subversion repositories for each product. Where possible develop checklist and lifecycles to ensure the quality of each product.
  3. Research and Development
    1. Cascade Explore the new features within the latest version of Cascade. Migrate existing XSL templates to make use of velocity templates. Rebuild the department Web sites using the latest features provided by Cascade.
    2. Google Explore the various API’s and tools offered by Google including Open Social.

Web Development Strategic Plan

Introduction

Our mission in Web development is to sustain the university’s overall Web presence at a level of design and functionality above that of comparable universities and to provide leadership, vision and strategic planning to continually enhance the university’s public-facing Web.

We recognize that the Web plays a crucial role in the university’s ability to:
  • Recruit Students
  • Attract Donors
  • Communicate (Internally/Externally)
  • Conduct Business
  • Support Academic Interests
The strategic plan outlined in the pages to follow has been organized into a set of five initiatives that address the future of a comprehensive public-facing Web.
  1. Marketing and Communication The marketing and communication initiative will bring consistency and continuity to all of the university’s public facing web pages. It will allow the university to once and for all transform all of the Web sites so that they are on brand and message.
  2. Personalization The personalization initiative will provide the infrastructure needed to support personalized communications with targeted constituencies (1:1) and consequently foster greater loyalty and satisfaction with the institution.
  3. Social Networking The social networking initiative will allow the university to reach deeper into the communities that our constituencies are already engaged and attract them back to our Web site. This initiative plays an important role in helping to shape how the world perceives the institution outside of the university’s traditional Web presence.
  4. Mobile Devices The mobile devices initiative will allow the university to reach beyond the traditional desktop-centric Web and reach out to a new generation of Lutes that want everything available on the go. There are tremendous opportunities to improve internal communications with this initiative. Student Life and other offices that are interested in a means of connecting more directly with students via text and other mobile services will find this initiative of particular interest.
  5. Infrastructure Finally the infrastructure initiative will make improvements to the workspace under which all Web development takes place. It will allow both UCOM and I&TS to be more productive and take advantage of emerging technologies.

Together these five initiatives paint a picture of where the university must begin to take its’ Web identity if it wants to remain competitive. In addition, these initiatives will also benefit the following offices in these specific ways:

Admission

  • Personalization – Provide a portal-like environment with the ability to communicate with prospective students and their parents in a streamlined, yet personal way (Interests, Application Processes, etc.)
  • Social Networking – The means to reach out to prospective students and their families in the social networks in which they are already engaged
  • CRMS – The ability to cultivate relationships at all points in the recruitment process and serve as the initial point of contact for those interested in the university

Business Office and Registrar

  • Business Functions – The ability to streamline business operations by transferring traditional paper-based processes online, and provide a rich online, convenient and centralized location for doing business

Development and Constituent Relations

  • CRMS – The ability to track and organize communications with donors and manage their preferences
  • Personalization – Provide a portal-like environment with the ability to push personalized materials to alumni and friends of the university in an effort to cultivate long-term satisfaction and greater participation in campaign efforts
  • Social Networking – The means to reach out to donors, alumni and other friends of the university in the social networks in which they are already engaged and ultimately lead them back to the university

Student Life

  • Texting – The means to reach out to current students and their parents via text messaging 
  • Social Networking – Support in engaging current students via social networking in a more intentional and streamlined manner

eLibrary

Telling the PLU Story

University Communications is on a mission to tell the PLU story in unique and thought provoking new ways. To that end we’ve partnered with Information & Technology Services to develop an electronic library of content that can be disseminated across the entire university Web sphere.

The electronic library (eLibrary) is a repository of stories, photos, podcasts and other media related files maintained by University Communications. The eLibrary contains all of the materials produced for Scene Magazine, U Magazine and campus news. To date the eLibrary has already been filled with hundreds of our best stories spanning the last few years. In the future it may also include additional content from outside sources such as Prism, Saxifrage or possibly even The Mast.

How will the campus use the eLibrary?

The primary vehicle for delivering eLibrary content is the Web, and with this in mind the eLibrary has been integrated into the university’s new content management system Cascade.

Now that the eLibrary is in place all of the departments using Cascade have the ability to browse to the eLibrary and add stories, photos, and other resources directly to their Web sites.

There are several advantages to departments using content from the eLibrary:

  1. Automatic updates
  2. Perfectly sized content
  3. Free, high quality content

Automatic updates

First, when a department chooses to supplement their Web site with eLibrary content they never have to worry about making updates or corrections. eLibrary contents are added to department Web sites via an include process so that changes can be made globally from one location. In short, updates made the eLibrary will happen in the central repository and propagate throughout all of the Web sites using that content.

Perfectly sized content

Secondly, eLibrary content is perfectly sized to fit into the department Web sites. Department web developers won’t have to fuss with making content fit into their pages.

Free, high quality content

Finally, departments don’t have to worry about generating content on their own. The eLibrary is full of interesting articles and multimedia that’s organized by categories and is continually growing.

How will the public experience the eLibrary?

The contents of the eLibrary will be packaged and exposed to the university’s Web site at several points:

  1. Doorways Pages
  2. The PLU Experience (Web site)
  3. Search and Directory
  4. Department Pages

Doorway Pages

The first entry points in which the public will encounter the eLibrary content are the doorway pages (Home page, Current Students, Faculty & Staff, etc.). The doorways will feature a new design, which is much more compartmentalized. The public will be able to click on the eLibrary items and go directly to a new Web site called, “The PLU Experience.”

The PLU Experience (Web Site)

Directly beneath the doorway pages is the “PLU Experience” Web site. The PLU Experience Web site is the publicly accessible Web version of the eLibrary. It consists of several topical landing pages that help organize the articles and related materials as well as the individual articles themselves.

One of the unique features of The PLU Experience Web site is its ability to be re-skinned and tweaked depending on the site making the request. For example the site can look like the Admission’s Web site when a user is coming from the Admission Web site, or it can look like the general PLU Web site when coming from a doorway page. It’s the same content only presupposed depending on the audience requesting it.

Search and Directory

Another mechanism in which the public will discover the eLibrary content is the university’s Search and Directory. The search will eventually be revamped to include special tabs for drilling down into specific eLibrary content.

Department Pages

In addition to the methods mentioned above, the eLibrary content will also appear on department Web sites that have been developed within Cascade. 

What’s the timeline for delivering the eLibrary?

The initial phase of the eLibrary has reached completion. Department’s using Cascade can now access the eLibrary content and easily add stories and images to their Web sites. At this time we do not have a hard deadline for delivering the second two phases of the eLibrary but we hope that we can be in a position to release the next wave of features in the early Fall.

Training

Cascade training is offered every Tuesday morning from 9:00-10:30 a.m. and every Friday afternoon from 3:00-4:30 p.m Library LIC B (The Basement). This training time is considered an "open lab", meaning that it's self-paced and is open to anyone wanting assistance with Cascade. If you haven't worked with Cascade before, it is best to watch the training videos below to get an understanding of how Cascade works. To learn more about the specific dates visit our calendar. Marketing & Communications provides writing and editing support for print and online publications such as Resolute Magazine, U Magazine, Web homepage feature stories and a broad range of other publications. Customer service provides office supplies such as: toner for copiers, laser cartridges for printers, intercampus envelopes, generic envelopes and paper stock for copiers and printers.

Paper stock is provided in many different colors, sizes, and weights; all paper is at least 10-40% post consumer. (Please refer to our Paper Sample Book). Specialty paper can be received the next day.

The Husky 30% post consumer 20# White Bond has been replaced with Grays Harbor 40.  Grays Harbor 40 is made from 40% post consumer waste fiber, is FSC certified, is carbon neutral, has Green-E certified power from biomass wood waste, and is process chlorine free. The Department of Ecology recently named them greenest paper mill in the US.

Hometown News Release

From time to time, students may have accomplishments and activities they would like to share with their local newspaper. It may be making the Dean’s List, studying away around the world or a number of other worthwhile announcements.

To have the best chance of getting those accomplishments published in your local newspaper follow these tips, fill out the form at the bottom and we'll send to your local newspaper.

  • Go HERE and fill out the form. It will automatically be sent to University Communications to be sent to the newspaper you selected.
  • Keep the important information concise and relevant to what you’re trying to highlight.
  • Hometown News Releases are best suited for smaller newspapers, and weekly newspapers. In most areas the larger dailies have trended away from publishing things like graduation and Dean’s List announcements.
  • Contacts for newspapers are constantly changing and aren’t always the most up-to-date by the individual. Look under contacts on the newspaper’s website to find the best email to send the form to or use the newspaper’s mailing address and address it to the appropriate editor or reporter.
  •  A general email can be the one that changes the least, so that may be your best bet if you don’t know the exact person to contact.
  •  Remember, just because you send in a Hometown News Release does not mean the newspaper will publish your accomplishment.

For Dean’s List, here is some basic language to include in your body text that helps explain what the recognition means:

The Dean’s List recognizes outstanding academic achievement and requires a grade point average of at least 3.5 for the term. Dean’s List standing becomes part of a student’s official transcript and is a distinguishing factor for students going on to graduate or professional school.

If you have any questions please email albertct@plu.edu. Again, HERE is the form to fill out online. Once you've completed it, hit submit and it will be sent to University Communications to be distributed to your hometown newspaper.

The 17th Annual KPLU Christmas Jam, our much-anticipated free holiday concert, features jazz vocalist Cheryl Jewell and her trio. Cheryl will perform Christmas selections with the PLU Jazz Ensemble under the direction of Dr. David Deacon-Joyner. President Thomas W. Krise will welcome the audience. The concert will be hosted by KPLU’s Nick Morrison and broadcast live on 88.5 KPLU and at www.kplu.org.

An outgoing mail box is provided in the Business Office, at the Campus Concierge in the UC and the Music department for a final pick-up for those departments located on upper campus. Staff members and student workers located on lower campus can bring their mail directly to the customer service counter at Marketing & Communications.

Mail picked up during the morning run is processed and delivered the following morning between 9:15 am noon.

How is bulk mailing and shipping handled?The Mailing & Shipping Group assists departments in coordinating and scheduling of bulk or vended mailings; scheduling the drop date according to the requested due date with selected vended services.

All UPS, FedEx, ground, overnight and international shipments must be accompanied by a Mail Services, shipping and receiving service request form, available to download and print out here or by calling 535-7436.
What are the mailing deadlines?For same-day processing, mail must be received by customer service by these deadlines:

First-class mail: 3:30 p.m.
UPS: 1:30 p.m.
FedEx: 2:45 p.m.

Mail received after the deadlines will be mailed out the next business day.

International Parcels and Flats
Are there special rules for international mailings?When sending international documents or parcels, please be specific on content information (e.g., “transcripts,” “applications”) using the word “documents” is not specific enough for the carriers.

International parcels and flats being sent via United States Postal Service that weigh over one pound and under three pounds must be accompanied by a Senders Customs Declaration form (PS2976). International parcels weighing over 3 pounds must be accompanied by a Customs Declaration and Dispatch Note (PS 2976-A).

The Declarations form will also ask for description of what’s in package and cost of each item
Will Mailing & Shipping handle my personal mailing needs?Mailing & Shipping provides personal mail and package service – including U.S. Postal Service, UPS and FedEx – to the campus community .

Receiving Personal Mail. University offices, departments, employees and students living in the residence halls may receive mail and packages delivered by Mail Services. However, employees’ personal packages are not delivered. They must be picked up at the customer service desk at Marketing & Communications.

Sending Personal Mail. To send personal mail and packages from campus, bring mail or packages to the customer service desk at Marketing & Communications and be prepared to pay the postage or shipping charges. Cash or checks are accepted. Please do not send personal mail, packages, or checks through campus mail due to liability and security concerns.

All printed university stationery and envelopes are for Pacific Lutheran University businesses only. These materials must not be used for personal or non-business use.

Personal mailings through Mail Services for other organizations and businesses is discouraged.
What is eligible to be mailed by USPS First-Class Mail?

Any mailable item may be mailed as first-class mail. The following examples are considered First-class items and must carry postage at first-class or priority mail rates:

Documents wholly or partially handwritten or typewritten (including identical copies prepared by automatic typewriter), originals or carbons, invoices, (except when accompanying the matter to which they relate), postal cards, post cards.

Items sealed against postal inspection.

Bills and statements of account.

Price list with written-in figures changing items or prices.

Blank printed forms filled out in writing, including canceled or uncanceled checks.

A computer printout may or may not be first-class material. It depends on the content. Contact Mail Services.

Discounted rates are available for 500 or more pieces.

What are the different options I have in mail delivery?

All packages sent to Pacific Lutheran University by USPS (U.S. Postal Service), UPS (United Postal Services), and FedEx (Federal Express) are received at PLU Marketing & Communications Mail Services. Our Mail Services staff and student workers sort and deliver the mail to all offices, departments, and residential halls on a daily basis. Please visit our web site at www.plu.edu/ucom.

To Receive Mail at Pacific Lutheran University

A complete mailing address should be used. Some components of your address will help the U.S. Post Office, UPS, and FedEx get your mail to Pacific Lutheran University, while other segments will aid the Pacific Lutheran University’s sorting process in the mailroom. (PLU Marketing & Communications Mail Services requires that all mail to students include their residence hall and room number.)

U.S. POSTAL SERVICE

All accountable and non-accountable mail is picked up by PLU Marketing & Communications Mail Services from the U.S. Postal Service on a daily basis.

Accountable packages or letters are those with a unique tracking number with a barcode and affixed by a label. All Certified, Registered, or Insured mail is considered accountable mail, Delivery Confirmation is not accountable. Accountable mail is held in a secured area at the PLU Marketing & Communications Mail Services office, the recipient will receive an email notification that a signature and proof of identification (Student ID) is required to pick up the item.

(It is recommended that classroom textbooks ordered through the online service are sent by UPS or FedEx.)

Non-Accountable Delivery Confirmation packages or letters are those without a unique tracking number or barcode. We strongly recommend that all packages sent through USPS (U.S. Postal Service) is Certified, Registered, or Insured (The USPS does offer a service called Delivery Confirmation, however if you are tracking a non-accountable package or letter and the web site states the package is DELIVERED this simply indicates that the off campus sorting facility or the [Garfield] Post Office station has received the item, not PLU Marketing & Communications Mail Services.)

PLU Marketing & Communications Mail Services picks up the non-accountable mail from the Garfield Post Office and sorts by Residential Hall addresses. However our staff is unable to manifest these items due to non-accountable packages or letters do not have a label attached with a unique tracking number or barcode as stated above. The packages and letters are delivered to the Front Desk Student Workers in the Residential Hall.

CERTIFIED MAIL

Need evidence of mailing? Certified Mail gives the sender evidence of mailing with a dated mailing receipt. It provides a confirmation number to confirm the date and time of delivery or attempted delivery. Delivery is recorded by the U.S. Postal Service. No Insurance coverage is provided with this service. This service can be applied to First-Class and Priority Mail. For an additional fee, Certified Mail may be combined with a RETURN RECEIPT, providing the sender with evidence of delivery with a signature.

RETURN RECEIPT

Need evidence of delivery? – Return Receipt can be added to Certified Mail to provide the mailer with evidence of delivery. The Return Receipt card must be completed by the mailer and attached to the article at the time of mailing.

DELIVERY CONFIRMATION

Need to know when your mail arrived? – Delivery Confirmation provides a confirmation number to confirm date, time, and zip code of delivery or attempted delivery.

SIGNATURE CONFIRMATION

Need to know who accepted your mail? – All the benefits of Delivery Confirmation plus a signature. Signature Confirmation provides a confirmation number to confirm the date, time and location of delivery or attempted delivery. A signature will be required from the person who accepts your package. You can request to have a letter faxed or mailed to you with a copy of the recipient’s signature.

INSURED MAIL

Need to insure your mail?- Insurance coverage is available for First-Class, Priority, Library, and Standard Mail. It provides indemnity coverage for lost, rifled, or damaged articles. PLU is not responsible for reimbursing the sender for the actual value of lost or damages items. The sender needs to submit a claim with the U.S. Postal Service.  The U.S Postal Service will reimburse the sender for only the actual value, less depreciation of the lost or damaged article. Poorly packaged items are not eligible for reimbursement. Return receipt service is also available for Insured Mail. PLU Marketing & Communications Mail Services is unable to insure personal letters or packages, this service is offered through the Post Office.

REGISTERED MAIL

Need to secure your mail?- Registered Mail is the most secure mailing service offered by the U.S. Postal Service. Each article of Registered Mail is monitored as it moves from the point of mailing until delivery. Only First-Class or International Airmail may be registered. Optional postage insurance for registered mail, up to $25,000.00 may be purchased at the time of mailing for domestic addresses. This service is not available for personal packages. Contact PLU Marketing & Communications Mail Services for proper sealing procedures for registered articles.

UPS (UNITED PARCEL SERVICE) AND FEDEX (FEDERAL EXPRESS):

Packages sent and received through UPS and FedEx are considered accountable mail; in addition they provide a $100.00 insurance minimum. UPS and FedEx Ground and Next Day Air are delivered directly to PLU Marketing & Communications Mail Service on a daily basis, the package tracking numbers and name of sender are manifested and then delivered to the Front Desk Student Workers in the Residential Halls.

How is Standard Mail (Formerly 3rd Class Bulk) handled?Departments can reduce the cost of their larger mailings by sending their mail under the university's non-profit bulk mail permit. To mail under the permit, there must be a minimum of 200 pieces of mail. All pieces must be identical and bear the university's non-profit permit indicia on the upper right-hand corner. In addition, all pieces must be printed matter, have the same weight and size and be pre-sorted into a specific zip code order.

The design of any printing on the face of the mailing must adhere to strict USPS format guidelines. The USPS may deny postage discounts or even reject the mailing if these guidelines are not observed. Since there are many guidelines, we suggest that you contact Mail Services at the beginning of your design process.

Standard mail is not designed for time-sensitive mailings. Mail pieces bearing the non-profit permit normally take from three to seven days longer for delivery than first-class mail. If your mail piece contains time-sensitive material, it is suggested that you mail it at a first-class rate. (Example of delivery time to New York using a non-profit permit is 10 to 14 days.)

The university is authorized to only mail its own mail under its special non-profit bulk permit. The university cannot delegate or lend the use of this permit to any other person or organization. The contents of the bulk mailing cannot contain symbols, trademarks, coupons or advertisements that provide a direct benefit to non-university persons or organizations.
How are large or specialized mailings handled?Before producing a large or specialized mailing, include Mail Services staff in your planning to ensure your mailing is timely and cost effective. Advanced notice is required to effectively handle and process large or specialized mailings consisting of 1,000 pieces or more. At least 72-hour advanced notice is needed for a large mailing to ensure sufficient postage is on deposit.

Gibbs most recently served as managing director, and helped establish the west coast operations, of Bluetext, a Washington, D.C.-based digital marketing and strategic communications firm that counts among its clients Google, Adobe, Cisco and Intel.  Before joining Bluetext, Gibbs lived and worked in Malta and Barcelona, Spain, where she served as chief marketing officer for emerging mobile media companies.

Prior to moving abroad, Gibbs served as senior vice president for consumer marketing and ecommerce at PlanetOut, a leading media and entertainment company based in San Francisco. She also helped lead the company to a successful IPO in 2004.

Earlier, Gibbs was executive vice president at The Weber Group (later Weber Shandwick Worldwide), where she managed six offices and participated in managing key enterprise accounts including Adobe and Gateway Computer.

Gibbs has also served as vice president of corporate communications at Nike, where she was chief communications strategist and spokesperson on a wide range of issues including regulatory concerns, production sourcing and labor practices, mergers and acquisitions and financial performance during one of Nike’s most rapid periods of global expansion.

Prior to Nike, Gibbs was director of public relations at Mattel, Inc., where she was a member of an integrated brand marketing team devoted to reaching the billion-dollar milestone for Barbie worldwide sales.  Gibbs began her corporate career at Apple as a public relations manager.

Gibbs graduated with a bachelor’s degree in communications arts and sciences from Michigan State University. Gibbs and her husband live in Gig Harbor with two spoiled standard poodles.  She is a long-time volunteer for Meals on Wheels and National Public Radio.

A journalist for more than 20 years, she worked the last 14 at The News Tribune in Tacoma. She was an investigative business journalist for the last seven years at the TNT and launched their real estate blog - Open House.
