The "Three Tiered" Event Profile
The Vice President for Finance and Operations has identified three categories of PLU event status. They are described below.

  1. PLU Programs
PLU programs and events are co-curricular, educational and social programs that enhance and promote the university's academic and community environment. These programs must be sponsored by a PLU department, organization, or club. There are no facility charges for PLU programs, but support services will be charged at the campus rate.

  2. PLU Related Programs
PLU's facilities may be used by outside organizations for their programs if there is co-sponsorship by a PLU department, organization, or club. Provided that there are no program fees (tickets sold or registration fees), no facility charges are assessed for approved co-sponsored events. If an event is co-sponsored, and the outside organization shares revenue with the PLU co-sponsoring group, there is facility rental fee charged at only 33% of the established rental rate. For approval of co-sponsored activities, please contact the Event Services Manager. Support services will be charged to the event sponsor, and liability insurance coverage may be required from the outside group that is helping to co-sponsor the event.

  3. Non-PLU Events
All non-PLU events must be scheduled through Conferences & Events. A contractual agreement and liability insurance with the outside organization is required. Rental and service fees are charged at the established rate.
How to Determine Your Event Status
For Related Events, please contact the Event Services Manager for your event status approval and rate structure.

Selection of Event Locations
The various locations available for public programming are designed for specific purposes and have limitations on use.

  • Chris Knutzen and University Center Rooms: The University Center is designed for co-curricular programs and public programming. University classes are not scheduled in the University Center. Space for weekly meetings (example: every Wednesday at 4 pm) is limited to provide a balance between weekly events and one time only events.

  • Scandinavian Cultural Center: The Scandinavian Cultural Center is a working cultural center and museum. The Center's public hours are scheduled on Tuesdays & Wednesdays from 11 am to 3 pm and Sunday from 1 pm to 4 pm. Events will not be scheduled during these times.

  • Lagerquist Hall and Mary Baker Russell Music Center: Because of music events, recitals, classes, and touring groups, this venue has limited availability during the academic year.

  • Eastvold Auditorium: Because of theatre, opera, and dance programs, this venue has limited availability during the academic year.

  • Olson Auditorium: Because of classes, athletic competitions, and sport practices and programs, this venue has limited availability during the academic year.

  • Classrooms: With the exception of regular academic classes, all scheduling is reserved through Conferences & Events. As summer and weekend class opportunities expand, classroom space for events is becoming more and more limited. Larger classrooms such as Admin 101, Leraas Lecture, Ingram 100, and Xavier 201 are also used for community outreach and periodic testing (GMAT, MCAT, etc.).
Event Services - Equipment/Labor/Facility Charges
The following service areas are billed to the sponsoring group.

  • Campus Supervisor: For any event not located in the University Center, a campus supervisor is required. Requests for supervision from other than a campus supervisor may be made to the Director of Conferences & Events.

  • Facility Setup: For any setup of tables/chairs in any location outside the University Center, an applicable setup fee will be assessed to the sponsoring group.

  • Facility Charges: Will be assessed for some PLU Related events. All external events are charged facility rental charges at the established rate.

  • Stage Services: For any event that uses the stage area of Olson, Eastvold, or Lagerquist; and any use of MBR Music Center, requires stage service technicians for event setup and supervision. Stage Services will support and setup all events in the MBR Music Center, including meeting and rehearsal rooms. Stage Services staff also oversee lighting in the above areas. Equipment rental charges (if applicable) and staff labor charges are assessed to the sponsoring group.

  • Audio Services: For all events needing sound reinforcement, an equipment rental fee is assessed. For events with mobile microphones (not on a stand) and for designated events, audio technicians are required to be present. Applicable labor charges are assessed to the sponsoring group.

  • Television & Video Services: For all events using TV or Video Services, applicable equipment rental and technician labor will be assessed.

  • Media Services: For equipment rental and technician labor (if required) the applicable charges will be assessed.

  • Custodial/Plant: For instances where additional custodial services are required during or after an event, or where Plant Services must prepare equipment/facilities/fields for use, applicable charges may be assessed.

  • Catering & Floral: For delivery, floral displays, and staff labor the applicable charges will be assessed.
