Scheduling Events


With the exception of regular academic classes and events sponsored by the Athletic and Music Departments, all programs and events are scheduled through Conferences & Events (x7450), by completing the event request form on the PLUcalendar page. In order to meet the needs of all service providers and event planners, all scheduling requests must be in writing.

BandPlanning Your Event - Where You Should Start
Right here! Our staff can assist you in selecting an event location, requesting appropriate services and some planning tips to help your event run as smoothly as possible.

If you have a possible event, select a best time and location, then work to identify some back-up dates and locations which you may want to consider if your first choice is not available. As you determine your event and its requirements, work to identify your needs as soon as possible and then communicate those needs to our office. In most cases, service providers on campus need at least 14 days to prepare the materials and/or staffing necessary for your event. Please use the planning form as a guide. The "Three Tiered" Event Profile
The Vice President for Finance and Operations has identified three categories of PLU event status. They are described below.

  1. PLU Programs
    PLU programs and events are co-curricular, educational and social programs that enhance and promote the university's academic and community environment. These programs must be sponsored by a PLU department, organization, or club. There are no facility charges for PLU programs, but support services will be charged at the campus rate.

  2. PLU Related Programs
    PLU's facilities may be used by outside organizations for their programs if there is co-sponsorship by a PLU department, organization, or club. Provided that there are no program fees (tickets sold or registration fees), no facility charges are assessed for approved co-sponsored events. If an event is co-sponsored, and the outside organization shares revenue with the PLU co-sponsoring group, there is facility rental fee charged at only 33% of the established rental rate. For approval of co-sponsored activities, please contact the Event Services Manager. Support services will be charged to the event sponsor, and liability insurance coverage may be required from the outside group that is helping to co-sponsor the event.

  3. Non-PLU Events
    All non-PLU events must be scheduled through Conferences & Events. A contractual agreement and liability insurance with the outside organization is required. Rental and service fees are charged at the established rate.
