General Description
Perform a variety of administrative, secretarial and clerical duties in the Office of the Vice President, Finance and Operations.
Essential Functions And Responsibilities
- Schedule and coordinate meetings.
- Prepare correspondence, memos and reports.
- Perform general office duties including answering phone calls, handling
mail, managing visitors and guests, maintaining a professional looking,
organized and supplied office space and equipment.
- Filing.
- Assist the Manager, Office of Finance and Operations to schedule and supervise student assistants.
- Reconcile budgets and process invoices for payment.
- Review and coordinate handling of legal documents and contracts.
- Complete and coordinate various kinds of projects assigned by Vice
President, Manager, Office of Finance and Operations, and Environmental
Health and Safety Manager.
- Maintain spreadsheets, lists, and webpage.
- Other duties and projects as assigned.
Knowledge, Skills, and Abilities
- Strong Word/Excel skills. Familiarity with Publisher, Access, Microsoft Windows Office Suite.
- Keyboarding proficiency.
- Attention to detail.
- Knowledge and experience working with the web and related technology tools.
- Knowledge of legal terminology and contracts.
- Excellent communication skills, both oral and written.
- Excellent problem solving and time management skills.
- Ability to handle frequent interruptions.
- Excellent interpersonal skills and customer service orientation.
- Ability to handle and work with confidential information.
Required Qualifications
- Two years professional office experience. Related education may substitute for some experience.
- High school diploma or GED.
- Finalist candidates must satisfactorily complete pre-employment background check.
Preferred Qualifications
- Associates Degree or higher.
- Paralegal experience.
