General Description
To represent the University and Music Department in a professional, courteous manner to public visitors and students -- both current and prospective, to provide receptionist/clerical services to the Music Department faculty and administrative staff members, to establish and maintain ongoing working relationships with other campus personnel in order to support the department in a wide variety of job related work assignments as supervised by the Chair of the Department of Music and administrative staff members.
Essential Functions And Responsibilities
- Answer phones, greet students and visitors.
- Act as main communication contact for music faculty, students, and staff.
- Assist students with their registration paperwork for private lessons and ensembles, and sequential music courses.
- Order and maintain office and copier supplies.
- Assist with music ticket sales including taking and filling orders and preparing pre-sales reconciliation.
- Coordinate and format printing and promotional materials (programs, posters) for about 125 events.
- Coordinate record library lending policy.
- Coordinate the instrument/locker inventory lending policy / end of the spring semester check in process.
- Coordinate music uniform lending policy / end of the Spring semester check in process / uniform cleaning.
- Maintain appointment calendars for administrative staff members and short term music classroom scheduling.
- Distribute incoming mail.
- Coordinate private lesson jury schedule at end of Spring semester.
- Execute general office duties.
- Oversee office student employees with routine tasks.
- Assume other related job duties as to be determined and assigned by supervisor.
Knowledge, Skills, and Abilities
- Ability to communicate clearly and effectively in both verbal and written form.
- Possess general office procedures skills.
- Possess knowledge of computer software: Microsoft Word, Excel, Access.
- Excellent interpersonal skills to work with all levels of campus community and public.
- Ability to organize and track multiple simultaneous projects.
- Able to lift and carry stacks of records and music scores.
- Experience working for multiple supervisors.
- Knowledge of and commitment to the musical arts.
- Proficiency in word processing/spreadsheet software.
Required Qualifications
- One year of general office experience. Education may substitute for some experience.
- High School Diploma or GED.
- Finalist candidates must satisfactorily complete pre-employment background check.
